TERMS AND CONDITIONS OF PARTICIPATION

Please read the terms and conditions in this document carefully before submitting your online reservation form. By submitting a reservation application form to Wildlife Sense, you, the participant, agree to the terms and conditions described below.

1. Age on date of arrival

All participants must be 18 years or older on the date of arrival at our project. Wildlife Sense does not accept participants under this age, which is the legal age of adulthood in Greece, because participants are responsible for their own actions and safety while at our project. Additionally, our special research and conservation permits also require that all participants are legally responsible persons.

2. Visa requirements and length of stay in Greece

Wildlife Sense does not provide Visa support or other arrangements that may be required for entry to Greece, which is a member of the Shengen Agreement. In case of failure or inability to acquire such documents, Wildlife Sense is not liable and the normal refund policy applies. Participation at Wildlife Sense projects should not be expected to be accepted by the relevant authorities as an eligible reason to gain entry permission or extension of stay in Greece.

3. Arrival date and duration of participation

It is solely the responsibility of the participant to show up on the start date. If delayed, Wildlife Sense will not extend the duration of the participant’s stay after the agreed departure date.

4. Cancellation and Change of Dates policy

Wildlife Sense is a small research and conservation project primarily funded by volunteer participation costs. While your circumstances can make you unable to participate, please understand that the majority of costs incurred for the preparation of the project and for your participation are not recoverable and therefore not refundable.

Change of dates

You can change dates within the same season (year) and project location free of charge as long as your current start date is more than two months away and as long as your paid amount at the time of change is not more than the cost of the spot you wish to change to.

Cancellation Policy

If you have not yet confirmed your reservation with a payment (up to 3 days after reservation), cancellation is free of charge. After you have confirmed your reservation, a cancellation fee of €250 for 2-week reservations and €350 for 4-week reservations is not refundable. The remaining amount paid is refundable Up to two months after the time of reservation or three months before the start date of your reservation, whichever comes first. After three months before your start date, all costs paid are not refundable.

5. Disclosure of medical information

All participants are required to disclose medical information that may affect the safety or wellbeing of themselves or others, including information that may only be necessary in a case of emergency or accident.

Prospective participants are responsible to evaluate whether their health status will allow them to participate in the project without risk of health and without compromising the proper and timely completion of the team’s research and conservation field work. Participants may stay outdoors working, walking, hiking, or cycling for many hours during very hot days. If in doubt, you should consult your physician before completing the Wildlife Sense application.

Wildlife Sense and our field leaders do not assume responsibility for the health or safety of participants at our projects; Wildlife Sense requires the disclosure of medical information because we wish to do our best to help our team participants in case of an incident or accident.

Dietary requirements may fall under the category of medical information when they may affect the health of the participant. Notable, but not exclusive, cases are allergies or deficiencies.

All medical information provided will only be shared with our field leaders and will not be disclosed to other team members without the consent of the participant concerned, except in the case of incident or emergency.

6. Disability

Wildlife Sense does not exclude persons with disabilities from participating in our projects. However, Wildlife Sense does not possess special equipment or facilities to cater to those with disabilities. Participants with disabilities will need to accept that they may not be able to participate in much of our field work and activities. Wildlife Sense is also unable to cater for special care that may be required. Participants that require the services of a caretaker must make special arrangement for that or bring their own caretaker. In such a case, please communicate directly with us for specific information and arrangement.

7. Abiding by the Wildlife Sense Code of Conduct

All participants are required to abide by the Code of Conduct of Wildlife Sense. The purpose of the Code of Conduct is to ensure participants safety and enjoyment of their participation, as well as the successful completion of the field work without obstruction or delays.

8. Health and Safety

The participant must always abide by the safety precautions put in place by Wildlife Sense and use the safety equipment supplied. The use of safety equipment and precautions are mandatory. Participants are responsible to report any malfunction of safety equipment immediately and consult with field leaders in any case of doubt regarding health and safety, even if the field research and conservation may be delayed as a result.

9. Insurance

Wildlife Sense does not provide participants with travel or medical insurance. We highly recommend participants purchase travel insurance, which includes medical coverage for the duration of their stay at the project and travel prior to departing on the trip. The participant is solely responsible for evaluating and determining the type, extent and levels of any insurance coverage they need or desire for their planned volunteer travel period.

In any case of property or personal damage, loss, or accident, participants are responsible to cover the resulting costs or fees.

10. Travel

The participant accepts that they are responsible for arranging and paying for their travel, specifically including all airfares or other transport costs to and from the location of our project as well as any in-country transport costs, unless Wildlife Sense agrees otherwise. It is the responsibility of the participant to carry all necessary documents when traveling to/from and in Greece. Where Wildlife Sense makes suggestions and provides advice on travel documentation, this is indicative only. Participants are solely responsible for having the correct and necessary travel documents that they require for their travel.

11. Intellectual property

All work performed by the participants while at a Wildlife Sense project including materials, documents, work products, equipment and/or prototypes, and all intellectual property is the exclusive property of Wildlife Sense and may not be disclosed in any form now or in the future without the written consent of Wildlife Sense.

Wildlife Sense reserves the right to use feedback and images provided by participants for website materials such as articles, publications, and testimonials. In such a case, we will always appropriately attribute the original artist or author unless otherwise agreed.

12. Research and Conservation

Participants accept that the primary purpose of Wildlife Sense’s project is the research and science-based conservation of endemic or endangered wildlife and ecosystems at the location of the project. Participants must follow precisely the methodology provided in the field manual and training, and may not in any case divert from these unless explicitly instructed to by the field leaders. Wildlife Sense has acquired special permits for our research and conservation field work, and any action that may compromise the safety of the concerned species or ecosystems or the compliance to our permits will not be accepted.

13. Truth of supplied information

By submitting the reservation form, the applicant states that the information given on this application is true, complete, and correct to the best of the applicant’s knowledge. The applicant understands that any misstatement or omission may result in the withdrawal of the application or, if the placement as a Wildlife Sense volunteer is reserved, in termination of the volunteer placement.

14. Personal Risk

The participant acknowledges and accepts the responsibilities and risks associated with their agreement to travel to, temporarily live in and provide volunteer work in Greece. Such travel and volunteer work can often be hazardous and involve a certain degree of risk, inherently dangerous activities and personal perils to the volunteer, both foreseen and unforeseen, all of which are fully accepted by and solely assumed by the participant. Therefore, Wildlife Sense including any and all of its employees, managers, directors, field leaders, other participants, and partner organizations are not liable, to the maximum extent of the law, for any loss or harm the participants or associates may suffer, including but not limited to loss caused directly or indirectly by: personal injury; emotional injury; death; illness or disease; damage to or loss of property; strikes, war, or terrorism.

The participant hereby assumes each of the risks described above, and releases and discharges Wildlife Sense, its field leaders, directors, employees, and all participants from any and all actions, causes of action, claims, demands, damages, costs, expenses, attorney’s fees, compensation and all consequential or other damages now accrued or hereafter to accrue to or for the benefit of the participant as a result of any act(s), omission(s) and/or negligence of Wildlife Sense, its field leaders, directors, employees, and all participants, specifically including, without limitation, any personal injury or property damage incurred while at Wildlife Sense, the accommodations arranged, travel to or from field work shifts, during field work shifts, or in any vehicle of Wildlife Sense.

The above terms and conditions may be altered by Wildlife Sense to comply with updates in the law or legal requirements. In such a case, accepted applicants who have not yet completed their participation will be informed of any changes.
